Bhutan Voyage – Terms & Conditions

Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of the Kingdom of Bhutan. Any disputes shall be subject to the exclusive jurisdiction of the courts of Bhutan. By booking a trip with Bhutan Voyage, you agree to comply with these laws and regulations throughout your journey.

Bookings

All bookings must be made directly with Bhutan Voyage or through an authorized partner. A booking is considered confirmed only when we have received the required deposit and issued a written confirmation invoice. The lead traveler accepts these Terms on behalf of all members of their party.

Tour Price & Payment

Our tour prices are quoted in U.S. Dollars unless otherwise stated and are based on current rates for accommodation, transportation, entry fees, and government taxes, including the Bhutan Sustainable Development Fee (SDF).

  • Full payment must be received at least 30 days prior to arrival in Bhutan.

  • Payments may be made via bank transfer, credit/debit card, or approved online payment systems.

Deposits & Invoicing

A 40% non-refundable deposit is required at the time of booking to secure services. Upon receiving the deposit, Bhutan Voyage will issue an official confirmation invoice detailing your itinerary, inclusions, and balance due.

Cost of Making Changes to the Holiday

If you wish to make changes to your confirmed booking (such as travel dates, itinerary adjustments, or accommodation changes), we will make every effort to accommodate your request. However:

  • Changes requested 30 days or more before the start of the trip may incur a minimal administrative fee plus any supplier charges.

  • Changes requested less than 30 days before the start of the trip may be treated as a cancellation and rebooking, subject to the cancellation conditions below.

Cancellation Conditions

Cancellations must be made in writing and are subject to the following charges:

  • More than 30 days before arrival: Loss of deposit.

  • 16–30 days before arrival: 50% of total tour cost.

  • 15 days or fewer before arrival or no-show: 100% of total tour cost.

Refunds for unused services are not guaranteed and are at our discretion. Bank and transaction fees will be deducted from any refunds.

Complaints

If you encounter any problems during your trip, please notify your Bhutan Voyage guide or our office immediately so we can attempt to resolve the issue on the spot. Complaints made after the conclusion of the trip must be submitted in writing within 14 days.

Passports, Visas & Other Travel Papers

It is your responsibility to ensure your passport is valid for at least six months beyond your travel dates. Bhutan Voyage will arrange your Bhutan visa as part of your booking. Any required permits for trekking or restricted areas within Bhutan will also be arranged by us unless otherwise stated.

Insurance

All travelers are required to have comprehensive travel insurance covering trip cancellation, medical expenses, evacuation, and personal belongings. Proof of insurance may be requested prior to travel.

​

Health

Travelers must be in good health to undertake the chosen itinerary. It is your responsibility to seek medical advice regarding vaccinations and other health precautions. For high-altitude treks, we recommend a fitness assessment and proper acclimatization.

Release Form

By booking with Bhutan Voyage, you acknowledge the inherent risks associated with travel, including but not limited to transportation, weather conditions, and outdoor activities. You agree to release Bhutan Voyage and its partners from any liability for injury, loss, or damage not directly caused by our negligence.

​

Authority on Tours

The decisions of your Bhutan Voyage guide or tour leader are final in all matters that may threaten the safety or well-being of any traveler. We reserve the right to remove any participant whose behavior is deemed unsafe, illegal, or disruptive.

​

Force Majeure

Bhutan Voyage will not be liable for any failure or delay in performance due to circumstances beyond our control, including but not limited to natural disasters, weather events, political unrest, pandemics, strikes, or government restrictions. In such cases, we will make every effort to offer suitable alternatives, but refunds are not guaranteed.

​

Travel Documents

We will provide your visa clearance letter, itinerary, and other necessary travel documents once your booking is confirmed and payment is received in full. You must carry these documents with you and present them to immigration and local authorities when required.
